How you will contribute

  • Program set-up and management. Manage the day-to-day operations of our client programs. Correspond directly with clients, training partners, and internal teams to set up logistics such as configuring event invitations, scheduling communications, granting LUMA Workplace access, responding to participant inquiries, and other feasible requests to meet client needs.
  • Scheduling and staffing. Schedule and staff both in-person and online training programs and coaching sessions in alignment with company calendar and resource availability/compatibility.
  • Order processing. Monitor contracts and help coordinate client payments. Maintain internal tracking, ERP tools, and/or other systems to convey accurate and timely data needed by the Customer Success, Production, and Finance teams.
  • Support sales and vendor set-up. Assist the Client Relationship Managers in writing contracts and completing Client vendor forms. Work directly with relationship managers in the field to respond to sales leads, coordinate with clients and manage follow-up tasks.
  • Client reporting. Modify and relay training data to client points of contact on an as needed basis. Communicate client feedback to LUMA’s internal teams.
  • Client-LUMA introductions. Facilitate introductions between LUMA Instructor(s) and Client Instructor(s) when co-delivering.

What you need to know

  • Experience. Minimum of 1 to 3 years’ experience performing customer service, event planning, or sales support.
  • Well organized. Excels with extremely detail-oriented responsibilities, manages time and priorities well.
  • Excellent communication. Demonstrates strong communication abilities that range in style and channel depending upon the audience, including working with different time zones.
  • Highly collaborative. Works well with a wide variety of teams, clients, engineers, designers, and other related roles.
  • Proactive.  Always looks to add value, whether it is improving current processes or suggesting new ones.

Things that might help

  • Experience with collaboration tools, such as Google Docs, Trello, MURAL, Zoom, WebEx, Microsoft Teams, etc.
  • Experience with and interest in human-centered design and Design Thinking.
  • Fluency in English (and potentially a second language: Mandarin, etc. but not required)

When and where will I work

The international responsibilities of this role require flexibility to work business hours that facilitate coordination with countries within Asia, Europe, and with the United States. Standard business hours are assumed with a possibility of overlap with United States and Singapore business hours when required.

We do not currently have a physical office in Singapore. This role will work remotely, and there may be occasional trips to local countries and potentially the United States.
